Clerk Typist I - Utility Billing
Resume & Cover Letter required. 27.5 hours per week, general work schedule is Monday through Friday, 10:00 am to 3:30 pm but hours must be flexible to fill in when needed. Position closes: November 27, 2017.
Performs routine clerical work including billing software, skilled use of word processing and/or computer equipment, and word processing, spreadsheet and data base software.
DUTIES AND RESPONSIBILITIES (Except as specifically noted, the following functions are considered essential to this position. The listed examples may not include all duties found in this class):
1. Type/process and fax/email daily final billings, print statements, letters, work orders and other material from copy, rough draft, or general instruction.
2. Compose and type form letters and other routine correspondence and prepare rough draft narratives and tabulations. Complete mail merges on a monthly and quarterly basis of various letters.
3. Process all water and sewer miscellaneous billings.
4. File office documents and work cards in accordance with established systems.
5. Update owner information weekly.
6. Fold and mail invoices monthly.
7. Maintain records, index and filing systems, spreadsheets and logs.
8. Maintains an appropriate level of confidentiality regarding records and activities of the organization.
9. Attend to a customer service counter, telephone console, or receptionist desk; receive incoming telephone calls, retrieve voicemail messages and address all calls, schedule appointments, respond to queries, and direct patrons to other city employees or departments, as appropriate.
10. Supply information, reports, procedures and departmental policies.
11. Issue various pool credits and make account updates, such as mailing address changes and tenant add/removal.
12. Review and prepare all abatements with the required documentation to forward to the Community Services Department.
13. Attend to many items simultaneously and/or in sequence.
14. Open, date stamp and sort mail, and process as needed.
15. Schedule utility disconnections, reconnections, new installs, backflow tests and final meter readings.
16. Provide clerical support to the Finance Office, as needed, by supervisors or division managers.
17. Have a general understanding of water and sewer billing.
18. Assist in the monitoring of payment schedules associated with agreements/liens and shut-offs and perform customer follow-up, as needed.
19. Establishes and maintains effective working relationships with employees, other departments and agencies, and the general public.
20. Maintains familiarity with and executes safe work procedures associated with assigned work.
21. Performs other related duties as required.
KNOWLEDGE, SKILL AND ABILITY REQUIREMENTS: Knowledge of modern office practices, procedures and equipment. Knowledge of business English, spelling, vocabulary and arithmetic. Demonstrated ability utilizing personal computer hardware and software including familiarity with the use of various software applications including word-processing, electronic spreadsheets and databases. Ability to type accurately and rapidly (minimum of 50-80 words per minute). Ability to make simple arithmetic computations and tabulations. Ability to understand and follow oral and written instructions. Ability to pay close attention to detail and focus on multiple tasks at the same time. Ability to maintain effective working relationships with department heads, employees, and the public and to deal with service problems courteously and tactfully.
EDUCATION/LICENSURE/CERTIFICATION REQUIREMENTS: High school diploma or equivalent, supplemented by course work in typing and experience in typing and general clerical work; OR any equivalent combination of education and experience which demonstrates possession of the required knowledge, skills, and abilities. Must exhibit a willingness to participate in additional training to enhance position performance.
$11.86 to $16.81 per hour.
