JOB SUMMARY: Provides advanced (senior-level) administrative and supervisory work for the agency s sexual behavior treatment program (SBTP), which offers a full complement of sexual behavior treatment services to youth with sexual behavior problems who have been committed to the TJJD.
The SBTP is provided in addition to the agency s rehabilitative strategy and involves a multidisciplinary, collaborative approach utilizing techniques such as motivational interviewing, relapse prevention, impulse control and self-regulation strategies and evidence-based case management and treatment strategies that seek to hold the youth accountable. Public safety, victim protection and reparation for victims are paramount and are integrated into the expectations, policies, procedures and practices of the program. Responsibilities include supervising, planning, and assigning the work of licensed sex offender treatment providers responsible for providing treatment services directly to youth assigned to a TJJD state-operated high security correctional facility and coordinating, monitoring, and evaluating program activities at the assigned facility.
Treatment services and activities include assessment, supplemental psychosexual education classes, short-term treatment, pre- and post-treatment services, and intensive residential treatment. No later than two years after employment, this position becomes responsible as needed for the clinical development of unlicensed treatment providers working toward primary mental health licensure and certification as a licensed sex offender treatment provider. Work involves working in partnership with other clinical supervisors to establish program goals and objectives; develop schedules, priorities, and standards for achieving program goals; develop program guidelines, procedures, policies, rules, and regulations.
In addition, work involves overseeing the preparation of or preparing management and operational reports; representing and making presentations regarding the SBTP at meetings; providing training as needed; acting as a liaison to other TJJD departments regarding SBTP activities and youth treatment; acting as a consultant to other agencies as directed; and assisting with the development and evaluation of budget requests. The Office Supervisor will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. The Office Supervisor is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision and task delegation. We are looking for an energetic professional who doesn’t mind wearing multiple hats. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored.
Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time.
Implement procedural and policy changes to improve operational efficiency.
Prepare operational reports and schedules to ensure efficiency.
Participate actively in the planning and execution of company events.
Maintain inventory of all company marketing items including but not limited to shirts, giveaways, etc…
Coordinate local recruiting events with HR.
Determine current trends and provide a review to management to act on.
Perform review and analysis of special projects and keep the management properly informed.
Responsible for creating PowerPoint slides, excel reports and making presentations.
Organize and schedule meetings and appointments. Manage executives’ schedules, calendars and appointments.
Partner with HR to maintain company policies as necessary.
Establish a historical reference for the office by outlining procedures for protection, retention, record disposal, retrieval and staff transfers.
Allocate tasks and assignments to subordinates. Ensure top performance of office staff by providing them adequate coaching and guidance.
Organize and lead orientation and training of new employees at Campbell as well as handle all tasks related to new employee onboarding.
Review and approve office supply acquisitions.
Remain updated on technical and professional knowledge by attending educational workshops, joining professional associations, building networks with fellow professionals and reviewing of industry publications.
Who we are looking for:
Bachelor’s degree or equivalent.
At least two years of previous supervisory experience in office management.
Knowledge of office management responsibilities, systems and procedures.
Excellent time management skills and ability to multi-task and priorities work.
Attention to detail and problem solving skills.
Excellent written and verbal communication skills.
Strong organizational and planning skills.
Proficient in MS Office, word excel and PowerPoint.
Knowledge of human resources management practices and procedures.
