Direct Mail Logistics Planning Service Specialist (38211)
Performs freight analysis, planning and coordination for mailings presorted by the plant. Facilitates interaction with Freight Service Providers. Maintains freight tariff tables for various freight service providers. Acts as first point of contact for all DynaMail and all third party DSMS systems. Investigate USPS Scorecard errors and dispute any job related back charges.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Perform freight analysis and planning for mailings presorted by the plant for best optimization of postal rates and shipping methods. Prepare final freight estimate using Dynamail and/or Monticello tools. Evaluate best processing methods for each mailing, considering Commingle vs. Drop SHip/CoPal. Develop routine for hybrid processing consistent with plant and customer goals.
Assure proper carrier is engaged to meet client delivery and in-home expectations based on RRD/RMS objectives and familiarity with all carriers.
Act as primary liaison with all freight service providers: DLS, Fairrington, Choice, ALG. Assist CS and Mail Dept with requests for other and new carriers.
Maintain freight tariff tables for various freight service providers. Monitor and facilitate all updates to tariffs and software.
Manage communication between postal and logistic entities to ensure client's requirements are being met (i.e., Fairrington, Choice Logistics, RR Donnelly, Harte Hanks and ALG). Provide support and assistance to Mail Planning Clerks when necessary.
Attend meetings regarding processes and procedures pertaining to logistics and freight planning as necessary.
Tracking of critical in-home date driven projects.
Provide backend reporting for clients on special requests, such as: drop ship, IMB scans, etc.
Keep track of monthly USPS Scorecard errors and investigate their cause. Provide information to department managers if corrective action is needed, when approaching USPS Scorecard error limits.
Dispute and then eliminate or reduce USPS Scorecard fees.
Act as primary contact for local Dynamail issue resolution. Support Fairrington , ALG and Choice DSMS systems' for issue resolution.
Provide support to Mail Department for PostalOne errors they are unable to resolve. Escalate to PostalOne helpdesk or RRD Helpdesk if necessary. Maintain records of errors and open issues.
Adhere to client confidentiality and data security procedures, as expressed in agreements or guidelines.
Meet or exceed quality, productivity and service levels to ensure client satisfaction and retention.

Provides administrative support to the Direct Mail Coordinator.
Assists in supervising volunteers assigned to the Direct Mail area, by directing tasks and ensuring completion of projects.

Education: High School diploma or equivalent.
Experience: 3 years experience in an administrative support role, with high-level data entry experience.
Able to maintain total confidentiality with respect to donors and their financial information.
Detail oriented with strong organizational skills, and the ability to prioritize tasks. Must perform quality work with deadlines, and with or without direct supervision.
Knowledge of office administrative procedures, and knowledge of use and operation of standard office equipment.
Capable of understanding and working with data and its usage in relation to the Direct Mail Program.
Proficient in MS Office, particularly MS Word, MS Excel and mail merge.
Proficient in using the Internet as a research tool.
Effective interpersonal skills to work with volunteers and handle donor requests via phone, e-mail, in-person, etc.
Work effectively as a team contributor on all assignments.
High level of interpersonal skills to handle sensitive and confidential situations and materials, and to deal with volunteers, donors, and staff. Position continually requires tact and diplomacy.
Good problem-solving skills.
Able to handle high stress situations for extended periods and maintain positive attitude.

Administration - Mail Clerk
The Cincinnati Insurance Companies' Mail Center is currently seeking a mail clerk to sort incoming mail from post office to departments as well as outside the company to agents.
Starting rate of pay: $10.50/hourly
- makes mail runs to departments to deliver mail and picks up outgoing mail that is in envelopes and delivers to postage department bins for processing and bulk loose mail to sort to agents bins
- sorts inter-office envelopes picked up from mail runs to department bins
- looks up names and department agency codes on CFCNet
- trains new mail clerks
- keeps agents areas organized and stocked with envelopes and labels
- work well with a team as well as independently
- have the ability to work in a fast paced environment
- have the ability to push fully loaded mail carts weighing in excess of 150 pounds
- be able to stand and walk seven hours per day performing tasks
Must be able to work 7:30a.m. – 4:15p.m. Monday–Friday. These hours are subject to change.
