Customer Service Representative
Duties & Responsibilities:
Check to ensure that appropriate changes were made to resolve customers' problems.
Confer with customers by telephone or in person to provide information about products or services, take or enter orders, or obtain details of complaints.
Contact customers to respond to inquiries or to notify them of claim investigation results or any planned adjustments.
Keep records of customer interactions or transactions, recording details of inquiries, complaints, or comments, as well as actions taken.
Refer unresolved customer grievances to designated departments for further investigation.
Responsible for management, analysis and reporting of customer specific KPI’s.
Responsible for understanding and complying with the fundamental principles associated with the Quality and Environmental Managements systems in place at Metal Prep.
Responsible for communicating daily with all levels of employees in order to assist in resolving problems and achieving company goals.
Responsible for the receipt and the timely acknowledgment of customer purchase orders and their order entry into paint line, slitter or embosser production backlog(s).
Responsible for paint line, slitter and embosser production planning to meet the customer’s required delivery dates.
Responsible for effectively communicating with the customer when a requested delivery date cannot be met by Metal Prep facility.
Responsible for the receipt, entry, coordination and tracking of customer shipping releases.
Responsible for customer specific reporting of coil receipts, production, shipments and rejections.
Responsible for receipt, development and the timely issuance of requests for quotations that conforms to the companies pricing strategies.
Responsible for the entry of customer complaints in the company’s quality system, ensuring that customer does receive a timely resolution.
Communicates (verbally and in writing) daily with external customers, consignees and internal personnel from Quality Control, Production and Shipping to ensure that all customer/consignee requirements are met and that customers and or their consignees are satisfied with the companies’ services.
Keeps equipment and work area clean and orderly.
Ensure compliance with federal and state laws.
Perform all duties in a safe manner.
Perform other duties as assigned. Education and/or Experience:
Bachelors Degree Arts or related degree preferred
A minimum 3 years of experience or related work experience is preferred
Additional experience may be considered in lieu of the educational requirements Other Knowledge, Skills & Abilities:

A detailed understanding of metal, paint characteristics and coil coating lines is preferred

Interview patients to obtain required patient demographic and financial information.
Appropriately prioritize financial payer types. Familiar with medical terminology. Good clerical skills with a high degree of accuracy and speed.
Ability to maintain composure during periods of high stress. Ability to provide excellent customer service to all customers. Develops productive relationships fostering trust and accountability in self and co-workers.
ESSENTIAL TASKS, DUTIES, AND RESPONSIBILITIES Registers who present in the Emergency Department, Inpatient and Outpatients. Understands critical communication techniques to obtain accurate and complete patient demographic and financial information. Demonstrates understanding of performing patient interview using appropriate techniques in a compassionate manner.
Ensures patient flow is maintained and informs Supervisor or Director of departmental and patient issues are resolved in a timely manner. Demonstrates a thorough understanding of all insurances with an above average knowledge of Medicare MSP Guidelines. Performs registration functions at the patient bedside.
Communicates with Emergency Department staff to ensure complete and accurate information is entered. Obtains insurance carrier information and scans of both front and back of insurance cards for all registrations and admissions. Verifies all patient demographic, Insurance, and medical data is accurate.
Verifies insurance eligibility utilizing on line programs and Managed Care Programs on all patients and enters appropriate notes on the account. Inform patients of co-pays, co-insurance, or deposits. Offers the prompt pay discount and process patient payments by cash, check or credit card.
Prepares appropriate paperwork and documentation for payment posting. Provides HCAPS Refers all uninsured patients to Financial Counseling, if applicable. Obtains signatures of consent for treatment, release of information to third party payers and various other agencies, and for insurance payment to come to the hospital.
Performs Quick Reg for patients arriving by EMS. Obtain and records patient admission information. Pre-Registers Direct Admit patients prior to arrival by contacting the transferring facility requesting demographic information.
Ensures all registrations are HIPAA compliant, by ensuring patients have received the hospital’s Notice of Privacy Practices. NOP is documented as required. Reviews the release of information questions with all patients as required.
Completes all required tasks for processing patient charts. (Example, Emergency Department Log, chart distribution, departing the patient) Point of Contact Scanning; Scans patient identification, insurance cards, consents and orders. Batch Scanning; Reviews and scans Emergency Room records and transfers the scanned batch folder to Assign Form ID, identifies scanned images, and process them to permanent storage. Rescan updated records and documents using the proper procedures.
Process patient status changes. Informs Nursing staff when patients arrive for triage. Directs or escorts patients to triage rooms.
Verify visitor approval from nursing staff and escort visitors to patient rooms. Register and transports OB patients to Nursing Unit. Consistently meets or exceeds productivity and quality standards for registrars.
Validates orders for elements required and medical necessity on Medicare patients. Explains ABN process to patients and obtains signatures on ABN’s as needed. Utilizes the BWC website to capture MCO information, claim numbers and allowable diagnoses.
Maintains petty cash drawer. Provides taxi cab payment, SPARC vouchers and enters information on log sheet. Distributes vending refunds.
Consistently demonstrates ability to use the hospital related computer programs, copier, fax, printer and embosser accurately. Courteously answers telephone using established greetings, and assists callers in a friendly, helpful manner. Utilize trauma packets for unidentified trauma patients.
Maintains wheelchairs in foyer for ER Patients. Faxes ER Report to Primary care Physicians and demographics for EMS Billing. Provides Outpatient Services Monday-Saturday 8:30pm – 06:30am and Sundays.
Obtain IMM signature and Observation signature from patient on nursing units. Perform CHC registrations after business hours. Utilize OHtrac to manage patient tracking during a MCI.
OTHER TASKS, DUTIES AND RESPONSIBILITIES Participates and attends department meetings and training. Demonstrates complete understanding of Medical Center policies and procedures.
Demonstrates a working knowledge of the Medical Center’s benefits provided by major employers in the area.
Explains medical center policies regarding deposit responsibility of valuables and personal items, also responsible person to obtain and retrieve valuables. Demonstrates an understanding of medical terminology, consistently spells and uses terminology accurately. Demonstrates ability to tactfully handle difficult situations with patients, with families and with physicians.
Demonstrates good judgment in uncertain and usual situations. Maintains a neat and professional appearance. Adjust to new and revised policies and procedures.
Demonstrates knowledge of scanning equipment and scanning process Exhibit proficiency in maintaining good rapport with physicians, ancillary departments and patients. Participates in department performance improvement activities as assigned and attends required training. Demonstrates service excellence and ACE.
Performs other duties, as assigned. KNOWLEDGE, SKILLS AND ABILITIES High School diploma, or equivalent and completion of medical terminology class. May complete medical terminology class within 60 days of hire.
Ability to understand instruction and effectively communicate in both written and oral form. Ability to use a computer and has good computer skills. Ability to prioritize and multi-task.
Ability to read and write in small letters and numbers. Ability to lift 25 pounds and be mobile. Ability to push a patient weighing 250 lbs. in a wheelchair.
Ability to stand for long periods of time. Ability to work in a fast paced, stressful environment. Ability to work as a team player within the ER Registration /Emergency Department.
Ability to perform accurate filing and maintain neat work environment. Ability to effectively communicate with physicians and other staff members. Ability to maintain a positive impression of the Medical Center at all times and handle sensitive telephone and face‑to‑face inquiries.
Ability to work in a safe and efficient manner and maintain an accident free work place, including ability to demonstrate a working knowledge of Medical Center emergency codes. Ability to comply with OSHA regulations and CDC standard and transmission-based precaution recommendations and to utilize proper personal protective equipment. Also uses hands and arms to reach and grab objects. Sometimes it is necessary to crouch or kneel. Successful performance requires good vision abilities including close vision. POSITION QUALIFICATIONS:Education and Experience: Generally high school vocational orientated background or related education is preferred, and typically, 3 months to 3 years of fast pace, high volume production experience or similar background or equivalent combination of education and experience is needed to successfully perform job requirements.
