Project Manager - Facility Coordinator (Glendale)
FACILITIES BACKGROUND EXPERIENCE REQUIRED
Facility or Construction and Quick books experience required
Essential duties and responsibilities
Receive phone, fax, and email work requests from customers.
Enter details of work requested and create work orders for request.
Ensure appropriate approval to proceed with work.
Make decisions whether to coordinate a subcontractor or have the Dispatcher schedule an in-house technician.
Communicate ETAs and status to all parties involved.
Address any concerns or questions made by subcontractors or in-house technicians.
Follow up on all open requests or bids daily by keeping updated notes and follow up dates.
When possible assist the technicians with locating materials and brainstorming ideas on how to approach problems. This is not to be confused with the necessity to provide direct Supervision to Field Technicians.
Generate Quickbooks invoices for billing of work performed by 60 days of job completion.
Address specific pricing billing concerns by customers.
Facility Service Visits
Review Action Item logs for Facility Service visits within one week of service visit.
Address Action Item requests that are delayed, need materials, or are forwarded.
Update Action Item logs with status. Save log and return to Dispatcher for tech distribution.
Address any concerns or questions made by in-house techs regarding service visits.
Create Non-billables for items needing to be tracked as a separate request.
Forward requests to Facility Managers when there are out of scope issues.
Provide bids to Facility Managers for additional work.
When possible assist the technicians with locating materials and brainstorming ideas on how to approach problems.
Build relationship and keep constant contact with Facility Managers and any other account contacts.
Learn account requirements of each account to ensure that you are fulfilling their NTE, due date, and reporting requirements.
React to emergency requests immediately and meet customer request due dates with sense of urgency.
Suggest additional work by reviewing Action Item logs and discussing upcoming projects with the Facilities Managers.
Schedule Quality Assurance visits to ensure the personnel understand our services, find out how technicians are doing, and to recommend additional work.
Other duties and responsibilities
Availability to field emergency requests 24/7.
Cover other Project Managers when necessary.
Perform other duties and projects as assigned by the Facility Services Division Manager.
Work out of our Corporate office location in Glendale, CA
8am to 5pm, M-F.
Must be available to respond 24/7 to afterhours customer calls.
Prioritize and process a high volume of incoming requests within customer deadlines.
Maintain accurate records of work requests and status following department procedures.
Maintain excellent relations with Sierra Group customers.
Must have background experience working in Facilities or Construction
Skill in using spreadsheet software, EXCEL and ACCESS preferred.
Moderate knowledge of all Microsoft Office products.
Proactive and reactive thinking
Effectively communicate both orally and in writing.
High School diploma (minimum requirement).
Ability to meet customer due dates coordinating an average volume of 10 customer requests per day in addition to addressing technician and vendor phone calls.
Problem solving capabilities and organizational skills needed to manage requests.
Effectively work as a team member with technicians, dispatchers, and other Project Managers to perform job related tasks in the most efficient manner possible with concern given to the needs of the customer.
Responsibility for Assets:
Billing must be processed on a timely basis to ensure billing of jobs within 60 days of completion.

Casual business wear Monday thru Thursday. Jeans are acceptable as long as they are in relatively good condition. Collared shirts are required.
